Most residents encounter the Clerk's Office at election time, but there is more to what the Clerk's office does for Pittsfield Township than just overseeing all aspects of elections.
As an 'information center' of the Township the Clerk's Office is often the first contact for citizens who seek information or need to have a problem solved. This office may direct inquiries to the proper official or office, or provide the requested information and action.
The Clerk's Office is responsible for . . .- Assuring that the polling places are properly staffed on election day, registering voters, maintaining the voter registration lists, verifying petitioners, sending out absentee ballots and making sure the optical scan voting equipment is working correctly.
- Maintaining accurate minutes of the Board of Trustees meetings, scheduling all public hearings and publishing appropriate public notices in the official newspaper of notice.
- Maintaining and archiving Township records and documents. Most documents over 10 years old are stored off-site, with more recent documents accessible at the Township.
- Scheduling the use of the Township Hall for public meetings and community activities.
- Administering the Oaths of Office to all Board and Commission members.
- Providing accounting and payroll functions of the Township.
- Receiving and processing all legal paperwork, including contracts; compiling and codifying Township ordinances; sending official correspondence; and sorting and distributing interoffice mail.
Within the Clerk's Office there is the Clerk, Deputy Clerk, Assistant to the Clerk, Department Assistants, Accounting Manager, General Accountant and occasional interns.
